Job Summary The Department of Anesthesia, Pain Management and Perioperative Medicine (APMPM) is a large, complex clinical and academic department that provides patient care, delivers education, and conducts research in the areas of anesthesia, pain management, and perioperative medicine. Reporting to the Managing Director, Education and Managing Director , Research the Administrative Assistant provides administrative and clerical support to the staff of the department, supporting the offices of education, research, and finance.
Key Responsibilities
  • Maintains a sound working knowledge of policies, procedures, issues, and projects, and researches and compiles information to effectively provide administrative support to the department’s leadership and staff, mainly with the Office of Education and Office of Research.
  • Coordinates a high volume of meeting arrangements with other divisions and departments, external individuals/groups as well as numerous committees. Maintains appointment calendars and resolves scheduling issues as they arise.
  • Composes correspondence with minimal direction, prepares tables, reports, and meeting agendas, and records and transcribes minutes of meetings ensuring all necessary materials are distributed to appropriate parties.
  • Develops and maintains a filing system (paper and electronic) and database to ensure all files are current and easily retrievable. Prepares reports as needed.
  • Answers calls and determines where the calls should be directed, obtaining any necessary information for staff. Deals with senior staff within NSH and Dalhousie University on a regular basis; therefore, must exercise tact and judgement when answering queries or recommending/initiating action to requests.

Note Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications
  • Office/Business Administration program, plus five years’ progressive administrative experience (or equivalent combination of training and experience).
  • Strong organizational, interpersonal, and communication skills (verbal and written).
  • Accuracy and attention to detail.
  • The ability to prioritize responsibilities and identify urgent issues with minimal supervision.
  • High proficiency with a variety of information technology systems, such as Microsoft Suite (Word, Excel, Powerpoint, Outlook, OneNote) and office equipment such as printers, scanners, photocopiers and video conferencing equipment.

Assets
  • Experience in a large, fast-paced multi-stakeholder environment in higher education or clinical setting.
