Chief of Staff

Our client is a small but growing global organisation. The role will be responsible for overseeing and managing key organisational systems and processes including HR, governance, business planning, IT, estates and internal communications. This will include ensuring they are fit for purpose and developed and adapted to take account of the demands of a growing international organisation. The role will have both strategic and hands-on operational responsibility for these areas. It will need to be responsive to both longer term and immediate priorities.

Duties:

• Ensure our HR systems are maintained and up to date
• Develop a staff development programme and package; investigate and assist in the selection and the booking of training

• Oversee the rhythm of governance and senior management meetings; ensure meetings are booked well in advance and the schedule fits the strategy requirements of the organisation

• Oversee the business planning cycle, including scheduling planning and review meetings
• Oversee the reporting and review process ensuring a reporting mechanism is in place and good quality reports are produced on time
• Account manager for IT support
• Ensure cyber-security arrangements are maintained and fit for purpose
• Oversee the use of accommodation, particularly in the UK. In particular:
  • Schedule the regular physical and virtual organisational meetings
  • Book meeting rooms, hot spaces and passes to the office space
  • Manage access to the office
• Lead on ensuring good quality cross-organisational internal communications both written and via meetings.

The successful candidate will be an experienced Chief of Staff or Office Manager, accustomed to

• Working with external suppliers
• Working with Excel, Word, Sharepoint
• Working with various software applications, specifically Teams, Zoom, Breathe, DEXT.
• Understanding and experience of requirements of a dynamic global organisation.
• Understanding of good HR practice
• Understanding of good governance practice
