Position Summary :

We have an exciting opportunity to join our team as a Administrative Coordinator.

The Administrative Coordinator will perform selective administrative functions for the Divisions of General Internal Medicine and Clinical Innovation (DGIMCI) and Hospital Medicine.

All activities are done in concert with the Divisional Administrator.

Job Responsibilities :

Faculty onboarding and credentialing :

  • Compile and submit appropriate forms for new faculty and allied staff (NP / PA) to obtain privileges at NYU Langone Health.
  • Maintain spreadsheet of new faculty onboarding status
  • Work as a liaison with the medical staff services office, the Faculty Group Practice (FGP) office, Faculty Records, Occupational Health, and other departments to ensure timely credentialing, faculty appointments, and onboarding of faculty.
  • Follow up with faculty regarding any missing items from their packets.
  • Maintain Faculty files in shared drive and scan copies of all related documents into the Divisions central files.
  • Ensure new faculty are trained in Epic according to NYU Langone Health requirements specific to their position
  • Ensure that all faculty and allied staff meet necessary requirements to maintain their privileges.
  • Work with Division Administrator to draft clinical offer letters and other contracts.

Communications and Marketing :

  • Creates new marketing materials for the Division and Faculty Group Practices, working with the FGP, Division leads, and Communications Department for proper sign off.
  • Creates and maintains divisional list

Accounts Payable / Receivable :

  • Coordinate procurement transactions for the Divisions as needed.
  • Help resolve AP and payroll issues upon request
  • Creates purchase orders
  • Assists in the training of division staff on the ePro system

Other Duties and Responsibilities :

  • The following is an itemization of duties and responsibilities that will be done with the direction and oversight of the Administrator :
  • Time manager for 30+ employees and liaise with human resources and finance for any discrepancies
  • Work with Division Administrator to analyze monthly productivity data and create RVU reports for the FGP medical director
  • Maintains Faculty Databases
  • Special events planning - organize educational speaking / awareness events with external foundations and vendors
  • Recruit and process volunteers for General Internal Medicine'
  • Provide administrative support for division programs and projects
  • Responsible for ensuring faculty and staff comply with flu and other annual mandates.
  • Work with CME office to submit annual CME applications and assist with reoccurring meeting
  • Establishes and follows a personal plan for professional development and ongoing continuing education.
  • Present written and verbal ideas, opinions, and facts in a clear and concise manner. Utilize proper listening skills and allow others to convey their ideas.
  • Maintain your work in an organized and systematic manner. Work independently with minimal assistance.

Minimum Qualifications :

Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience.

The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills.

Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.

g., Microsoft Office, preferred). Ability to multi-task and / or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing;

excellent problem-solving skills is required.
