Grant Specialist, Medical Education Grants Office (MEGO)

The MEGO Grant Specialist ensures operational efficiency and effectiveness within MEGO. Core responsibilities are related to accurate and compliant processing of grant requests according to policy and procedures as outlined by MEGO, oversight of MEGO utilization of grant application system (CyberGrants), internal/external websites and reporting. Works collaboratively with MEGO, Global Business Services External Funding Team and cross-functional teams to provide process and system management and support of reporting requirements. This role is a key external customer interface for MEGO.

Major Responsibilities

  • Ensure completeness of all incoming grant applications and the timely transition of applications into the review process.
  • Coordinate triaging of grant applications to appropriate Associate Director/Director/grant manager.
  • Provide coordination and support to Associate Directors/Director throughout the grant review process.
  • Coordinate all correspondence to external grant applicants.
  • Ensure timely receipt of executed LOAs prior to the program start date. Coordinate provider requests for changes to LOAs.
  • Manage triaging of inquiries and applications to Associate Directors/Director for decisions; Make decisions on specific types of requests such as contributions, fund-raising requests, etc that do not fall under purview of MEGO.
  • Manage process for grant reconciliation and initiate recovery of unused funds.
  • Ensure accurate and timely distribution of grant payments and appropriate documentation.
  • Monitor and support the day-to-day medical education grant processing functions including issue handling, communications and resolution
  • Evaluate business process issues for MEGO with focus on system and websites: drive enhancements, identify system issues, lead system and process training, manage internal and external websites.
  • Collaborate with MEGO team members to mitigate compliance risks associated with medical education grant activities and sponsorships: maintain all documentation in grant files within system, generate ad hoc reports and data searches for internal customers, provide grants data to compliance to meet government reporting requirements, maintain file archives.
  • Generate MEGO reports in collaboration with MEGO team members.
  • Maintain tracking of metrics specific to compliance issues, outcomes, reconciliation & returned funds, etc.
  • Identify and implement operational efficiencies (ie: process or technology)in MEGO that result in time and/or cost savings. Summarize and present information to key stakeholders (e.g., MEGO Leadership Team)
  • Maintain high level of external customer satisfaction.

Minimum Requirements

  • 3+ years pharmaceutical or healthcare industry experience
  • 3+ years process and/or system management experience
  • Working knowledge of information/technology systems utilized at AZ
  • Strong organizational and operational skills
  • Strong customer service orientation skills
  • Excellent interpersonal, conflict management, and customer relationship skills
  • Excellent written and verbal communication skills

Preferred Background/Additional Skills

  • Experience as education grant administrator
  • Bachelor’s degree or equivalent directly- related experience to grants & donations
