Office Administrator

Our client, a Communications / Design firm in Lower Manhattan is looking to hire a Temp to Perm Office Administrator. As the face of the firm, this position ensures a positive experience for visitors and staff by providing the utmost hospitality to clients and staff.

The Office Administrator requires an understanding of daily operations to provide excellent support, maintain an effective office, and support the client's needs accordingly.

This person will report to the Office and Facilities Manager, while working closely with the greater Ops and Facilities team, and partnering with Program Managers, and the Admin Team.

Hours will either be 8 : 00am - 5 : 00pm or 9 : 00am - 6 : 00pm with flexibility for the occasional early start or late departure.

Responsibilities : Greet, welcome, and guide staff, visitors, and clients to ensure their needs are met while in the NYC offices.

Answer and manage phone calls, field general questions and requests, reserve meeting room space, and provide printing / fax assistance.

This will be a shared task with other members of the ops team. Guide the Operations Team to track all support needs and conflicts in order to better prepare the teams each day, to handle both supporting an office and client needs.

Resolve complex conference room conflicts and manage expectations of booking protocol with employees. Coordinate all details prior to a client meeting, including food and beverage deliveries, visitor management, room setups / availability, orders, etc.

Monitor busy client meetings to ensure conference rooms are reserved and equipped properly. Work closely with the Admin Team and Operations Manager to have knowledge of what's going on in the office every day.

Maintain and improve our processes around meeting support, shipping, conference room management, supplies ordering, events, and more, as the company continues to grow and evolve.

Oversee the grocery program by monitoring food levels, gathering feedback from employees, and sharing feedback with vendorsThere may be the opportunity to project manage an internal project, a meeting, or event.

This requires planning all logistics and organizing the team leading up to the day of the event / meeting / deadline. Engage the spirit of the firm by helping plan and host celebrations either in the office, or offsite.

Budget and track cost projections along the way. Maintain magazine and newspaper subscriptions and return borrowed books back to the library.

Purchase books upon request. Qualifications : 3+ years' experience in office operations preferred. BA / BS degree preferred, AA degree plus creative agency experience also acceptableTechnical experience should include GMail, Word, and Excel.

Must have high level of presentation, but also ready and willing to roll up sleeves and dig into a project.Prioritization, organization, and multitasking skills are mandatory.
