What you’ll do

As the Administrative Coordinator, you will primarily support Early Oncology Clinical Physician members based in the U.S. at our Waltham MA and Gaithersburg, MD sites and in the U.K. at our Cambridge site. You will provide PA support to Early Oncology Clinical Physician Team members and be part of the Early Oncology Clinical global admin team supporting Early Oncology Clinical globally.

Responsibilities/Duties Include:

  • Provide PA support to Early Oncology Clinical Senior Physicians. This includes calendar management to schedule both virtual and face to face meetings and prioritize calendar conflicts including across multiple international time zones. It also includes making multi-location, domestic and international travel arrangements as well as expense reporting.
  • Working flexibly with administrators in Early Onc Clinical (one administrator inthe UK, two administrators in US) to divide task amongst the team making sure balancing the workload.
  • Establish and maintain a robust professional network across administrative teams within AstraZeneca on cross-functional and cross-organizational meetings, events, processes
  • Effectively lead special projects and other duties as assigned
  • Manage SharePoint websites to update content on a regular basis
  • Produce accurate and properly formatted documents using Microsoft Office (Word, Excel, PowerPoint)
  • Schedule candidate interviews, and handle onboarding procedures for new hires

Essential for the role

  • H.S. diploma or equivalent required; college degree preferred.
  • 3-5 years of administrative support experience.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and SharePoint required.
  • Experience with effectively multitasking in a fast-paced environment while maintaining confidentiality and discretion.
  • Ability to prioritize time critical assignments
  • Excellent team working, networking and influencing skills
  • Prior experience supporting multiple functional leaders

Desirable for the role

  • Relevant training, multitasking, certifications in software, and/or time management
  • Strong written and verbal communication skills
  • Competency with meeting logistics and virtual technologies such as MS Teams, Zoom, etc.
  • Ability to work autonomously
  • Efficient in supporting staff with software updates
  • Strong time-management skills
