Mice Assistant Manager (malaysia)

Purpose of the role

This challenging role inside the expanding MICE team in Kuala Lumpur offers the opportunity to provide an outstanding customer service to clients, including information, quotation, operation and administrative matters in regards to MICE related RFP’s. This successful candidate will handle complex quotations, ensuring that these are confirmed with all suppliers efficiently and with great accuracy.

Overall Responsibilities:

• Assisting and supporting the MICE Manager and other colleagues with preparing quotations, itineraries and reservations
• Responsible for handling customer inquiries and lead requests for MICE groups
• Negotiation of MICE services in line with the requirements from the customer
• To achieve revenue and booking goals for the MICE Team
• To align customer preferences with brand needs
• Appropriate follow-up practices, including upselling of additional services
• All accounting procedures for confirmed files: this include managing account payable and account receivable for confirmed files with the accounting department
• Research and development of new products, venues and MICE-related services
• Foster good relationship with hotels/suppliers
• Updating backend information of venues, suppliers, accommodation and other services, relating to the MICE industry
• Update the follow-up master files at all times
• Preparation of pre-event inspection trips for project managers
• On-ground presence for confirmed groups and site inspections
• Work closely with colleagues from other departments and offices within the Asian Trails Malaysia head office
• Out of office meetings with customers to handle events, special requests,administration tasks, other tasks as outlined by the MICE Manager

Qualifications:

• Diploma/Bachelor Degree in the hospitality and tourism industry
• Minimum 5 year experience in a travel & tourism company – 3 years experience in a similar position is a prerequisite
• Excellent command of English, Spanish and French – verbally and in writing – is essential
• Knowledge of Malaysia and its destinations is a must
• Able to delegate, cooperate and coordinate with all concerned person and institutions within the travel industry
• Experience with DMC software is an advantage
• Excellent command of Microsoft Office applications (Excel, Word, Outlook) and excellent computing skills
• The ideal candidate must be detailed-orientated, service-minded, some experience in negotiations and have a drive to deliver exceeding expectations
• Able to work under pressure, meet tight deadlines and work flexible hours during peak season. A “Can Do” attitude and positive thinking that includes creative thinking is an asset
• This position is open for Malaysian or foreign nationals
